Position Purpose:
Drive the highest levels of guest and client satisfaction before, during, and after each event by ensuring compliance with the hotel's standards, procedures, and service excellence guidelines. Act as the primary point of contact and account owner for each assigned event, taking full responsibility from confirmation through successful completion while working in alignment with the hotel's operational framework and service culture.
Main Responsibilities:
- Organize and coordinate hotel events, ranging from small meetings to large conferences and social celebrations.
- Negotiate and manage contracts related to events and hotel services, overseeing the entire contracting process from group confirmation through contract execution.
- Prepare and manage event budgets, ensuring profitability and financial efficiency.
- Issue invoices, manage payments and vouchers, and monitor event payment status to ensure timely collection.
- Deliver exceptional customer service, ensuring guest satisfaction and fostering long-term client relationships.
- Oversee all event logistics to ensure flawless execution and provide an outstanding guest experience.
- Evaluate event performance, gather feedback, and propose continuous improvement initiatives.
- Participate in regular team meetings to coordinate and plan future events while maintaining effective communication with internal departments to ensure seamless service delivery.
- Follow up on inquiries and sales leads to maximize group conversion.
- Manage groups with a full 360° approach (MICE & Leisure), from the initial quotation through final invoicing, including operational coordination throughout the event lifecycle.
Experience:
- Minimum of 2–3 years of experience in a similar role within the hospitality or events industry.
- Proven experience in event planning and coordination, including contract negotiation and management.
- Previous experience managing MICE (Meetings, Incentives, Conferences & Exhibitions) business within the hotel sector.
- Experience managing group bookings from quotation through final billing is highly desirable.
- Knowledge & Technical Skills
- Proficiency in Opera PMS (Property Management System)
- Good understanding of hotel operations and group/event management processes.
- Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
- Excellent organizational, communication, and customer service skills.
- Ability to manage multiple projects simultaneously while meeting deadlines in a fast-paced environment.
- High attention to detail and strong problem-solving skills.
- Professional level of English; additional languages are an asset.
Salary in accordance with the hospitality industry collective bargaining agreement and variable incentive system. 26.137,92
