Personal Assistant:
Part-time, Barcelona (2-month project, may become longer term)
Pay: €16–20 per hour (autónomo, invoiced monthly) Hours: 32 hours per month — two fixed 4-hour slots per week Length: 2 months to start, with a view to continuing longer term if it works for both of us Location: Barcelona, in person (partly on foot around the city — not a desk-only role)
I've been based in Barcelona for a few years and run a UK marketing agency remotely. Work is going well; the practical side of my life is what needs someone on it.
I'm looking for a personal assistant to take the day-to-day admin and errands off my plate so I can focus on the business. This is a temporary project for the next two months. If it works, I'd like it to become a longer-term arrangement — including possible remote support later when I relocate to Italy.
What you'll actually do
- Find, hire and manage a cleaner for my apartment (you'll be their point of contact, not me)
- Errands: pharmacy and prescription runs, Amazon orders and returns, collecting packages, dropping things at my place
- Bureaucracy: booking cita previa, dealing with the Ayuntamiento, banks, gestor — anything Spanish and painful
- Booking doctors, dentist, physio and getting them into my calendar
- Planning trips: I'll give you the format and a budget, you come back with two options, book the one I pick, and put together a one-page itinerary
- Occasional filming on a phone/gimbal for personal or work projects
- Light inbox triage: flagging what needs my attention and sending simple template replies (no client decisions — those stay with me and my team)
- One weekly marketing email: a short client testimonial breakdown, built from a fixed template and video we've already shot, drafted with AI tools (ChatGPT/Claude) and sent every Thursday. About 2 hours a week. This is the one business task in the role — it's judged on going out every week, not on being a masterpiece
- A 20-minute weekly check-in where you bring the list and I make the calls
We'll start slowly so you can learn how I work. I'll show you something once — after that, take notes, record it, and handle it confidently.
Mistakes happen. What matters is that you flag them, we look at why, and they don't repeat.
You'll do well here if you're
- Proactive — you find the answer before I ask the question
- Calm, organised and detail-driven
- Clear in communication and respectful of time — yours and mine
- Comfortable on the phone in Spanish and English
- Happy moving around the city, not just sitting at a laptop
- Comfortable using ChatGPT or Claude to draft and edit text, and able to make it sound human
- Interested in seeing how someone runs a business and a life at the same time
Non-negotiables
- Fluent English and Spanish
- Reliability — the two weekly slots are fixed and I plan around them
- Attention to detail; no repeated mistakes or sloppy work
- Present when we're working — no phone scrolling during check-ins or calls
- Initiative — waiting to be told what to do won't work here
Why this role exists
You'll work directly with me, not through layers of management. It's a small, simple setup: I need someone I can trust to run the practical side of my life properly, so I can put my head fully into the business. Do it well for two months and there's a longer-term arrangement on the table.
