As an Events Planner at Grand Hyatt Barcelona, you are an ambassador of the Hyatt brand, responsible for the detailed planning, coordination, and execution of meetings and events hosted at the hotel.
This is an operational full‑time position (40 hours per week) offered on a permanent contract, with a schedule aligned to business and event needs, including occasional evenings or weekends depending on event operations. You will work closely with Sales, Banquets, Culinary, Front Office, and other hotel departments to ensure seamless event delivery and outstanding client satisfaction.
The Events Planner is responsible for coordinating all operational aspects of assigned events, ensuring they are delivered according to client expectations, contractual agreements, and Hyatt brand standards. Responsibilities include, but are not limited to:
- Acting as the main point of contact for clients from event confirmation through post‑event follow‑up
- Planning and coordinating meetings, conferences, social events, and group functions held at the hotel
- Managing event details including:
- Function space allocation and setup
- Audio‑visual and technical requirements
- Catering menus and beverage arrangements
- Timelines, agendas, and special requests
- Preparing and maintaining accurate event documentation, including:
- Event orders and function sheets
- Timelines and internal communications
- Conducting pre‑event meetings and site inspections with clients and internal teams
- Coordinating closely with Banquets, Culinary, AV, Front Office, Housekeeping, and other operational departments to ensure flawless execution
- Monitoring events on‑site when required, proactively resolving issues and ensuring guest satisfaction
- Ensuring all events comply with hotel policies, safety standards, and brand guidelines
- Managing last‑minute changes with professionalism and a solutions‑oriented mindset
- Supporting revenue optimization through upselling of services and event enhancements when appropriate
- Maintaining strong relationships with clients to encourage repeat business and positive feedback
- Completing post‑event follow‑up, including billing accuracy and client feedback
