About the Role
As a Reservations Coordinator , you will play a key role in shaping the guest journey from the very first interaction. You will be responsible for ensuring an efficient, accurate, and commercially aware reservations process, while supporting the hotel’s revenue strategy and maintaining strong relationships with key partners.
This position reports directly to the Rooms Division Manager.
Reservations Executive
Key Responsibilities
Reservations Strategy & Operations
- Oversee the end-to-end reservations process, ensuring accuracy, efficiency, and alignment with the hotel’s commercial strategy
- Supervise and optimise reservation workflows, identifying opportunities to enhance conversion and guest experience
- Ensure all bookings, modifications, and cancellations are managed with precision and in line with brand standards
- Maintain full accountability for data integrity across PMS, and internal systems
- Lead the handling of complex, high-value, and VIP reservations, ensuring a personalised and seamless approach
- Act as escalation point for reservation-related challenges, ensuring swift and effective resolution
Revenue Optimisation & Inventory Management
- Proactively drive revenue performance through strategic upselling, cross-selling, and conversion optimisation
- Collaborate closely with the Revenue team to align inventory, pricing, and availability with demand trends
- Monitor pick-up, pace, and booking patterns, providing insights and recommendations to maximise occupancy and ADR
- Identify and resolve discrepancies in rates, availability, and system configurations
- Support the execution of revenue strategies across all distribution channels
Room Strategy & Inventory Coordination
- Lead room allocation strategy, ensuring optimal distribution based on guest value, operational efficiency, and commercial priorities
- Oversee room blocking for VIPs, long stays, and groups, ensuring alignment with guest expectations and hotel positioning
- Coordinate closely with Front Office and Housekeeping to maximise room readiness and operational flow
- Continuously review and adjust allocations in line with last-minute changes and business needs
Partner Relations & Business Development
- Manage and develop relationships with key travel agents, consortia, and lifestyle/luxury partners
- Act as primary contact for high-value partners, ensuring seamless communication and service delivery
- Identify opportunities to increase production and drive repeat business through strategic account management
- Support Sales in nurturing partnerships and converting leads into confirmed business
Leadership & Cross-Department Collaboration
- Act as a key liaison between Reservations and Front Office, Revenue, Sales, and Guest Experience
- Provide guidance and support to junior team members, fostering a high-performance and service-driven culture
- Ensure all departments are aligned on promotions, packages, and key operational updates
- Support Front Office during peak periods, ensuring a seamless guest journey from booking to arrival
Distribution Channels & Systems Management
- Oversee OTA and channel distribution, ensuring rate parity, availability accuracy, and optimal visibility
- Work closely with Revenue to manage restrictions, inventory controls, and system configurations
- Continuously evaluate channel performance and recommend improvements
Guest Experience & Service Excellence
- Champion a guest-centric approach across all reservation touchpoints
- Personally manage complex requests, complaints, and VIP arrangements with professionalism and care
- Ensure all interactions reflect the hotel’s positioning and elevate the overall guest journey
Reporting, Analysis & Decision Support
- Lead the preparation and analysis of weekly and monthly performance reports
- Translate data into actionable insights to support strategic decision-making
- Track KPIs related to conversion, revenue, and operational efficiency
Process Improvement & Compliance
- Drive continuous improvement of SOPs, systems, and workflows
- Ensure full compliance with company standards, data protection, and audit requirements
- Identify innovation opportunities to enhance efficiency and guest satisfaction
What We Are Looking For
- Proven experience in Reservations, Revenue, or Front Office within a 4* or 5* hotel, ideally in a senior or supervisory role
- Strong commercial acumen with a clear understanding of revenue management principles
- Excellent command of Spanish and English (additional languages highly valued)
- Advanced organisational and analytical skills, with strong attention to detail
- Ability to lead processes, influence stakeholders, and drive results
- Confident decision-maker with a proactive, solution-oriented mindset
- Strong interpersonal and communication skills, with the ability to build relationships across departments and partners
- Comfortable working in a fast-paced, dynamic environment with shifting priorities
- Flexibility to work shifts, including weekends if required
