The Opportunity
We are looking for a highly organized, proactive, and detail-oriented Administrative Assistant to join our Barcelona office. Reporting closely to senior management, you will provide administrative and operational support across several business functions, including Human Resources and office administration, contributing to the efficient day-to-day operation of our growing international team.
Key Responsibilities
- Provide administrative support to senior management and executive staff.
- Prepare reports, presentations, spreadsheets, and other business documentation.
- Conduct research and compile information to support business activities.
- Support payroll preparation and related administrative processes.
- Assist with Human Resources administrative tasks, including employee documentation and record management.
- Manage, organize, and maintain physical and digital documentation.
- Support employee relations through day-to-day administrative assistance and face-to-face interaction.
- Coordinate meetings, appointments, and internal communications.
- Maintain confidentiality when handling sensitive company and employee information.
- Ensure administrative processes are accurate, organized, and completed within deadlines.
- Provide general office support and contribute to the continuous improvement of administrative procedures.
Requirements
- Bachelor's degree in Accounting, Business Administration, Management, Human Resources, or a related field (preferred).
- Minimum of 2 years' experience in a similar administrative role.
- Excellent written and spoken English (mandatory).
- Knowledge of Spanish is considered an advantage.
- Advanced knowledge of Microsoft Office Suite (Excel, Word, PowerPoint and Outlook).
- Strong organizational and time management skills.
- Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
- Strong analytical and problem-solving abilities.
- High level of accuracy, attention to detail, integrity, and reliability.
- Ability to work both independently and collaboratively within multifunctional teams.
