We're looking for an experienced Office & People Operations Manager to become Kyoto's trusted operational point of contact in Spain.
You'll own the day-to-day running of our Seville office, support our employees and help the business navigate practical operational matters. From coordinating with local authorities and external partners to welcoming new employees and improving the way we work, you'll be the person people rely on to make things happen.
The role is based in Seville and reports to the Head of People & Culture in Norway. While your primary focus will be Spain, you'll also support People Operations across Europe where processes are shared, helping create a consistent employee experience as Kyoto grows.
No two days will look the same. One day you might be onboarding a new employee. The next you could be coordinating with a notary, working with external advisors, navigating a local administrative process or solving an operational challenge. If something needs figuring out in Spain, there's a good chance you'll be the person leading the way.
- Own the day-to-day running of our Seville office, including facilities, suppliers, equipment and workplace services.
- Be Kyoto's local operational point of contact in Spain, coordinating with landlords, notaries, public authorities and external partners.
- Lead local business administration, documentation, registrations and other practical operational matters.
- Support managers with operational projects and remove obstacles so the business can keep moving.
- Own the employee lifecycle for our Spain-based employees, including recruitment, onboarding and offboarding.
- Be the first point of contact for employees in Spain, providing day-to-day People support.
- Maintain HR systems, employee records and People administration.
- Support shared People Operations across Europe, including onboarding, systems, employee engagement and other cross-functional initiatives.
- Help ensure our People processes remain compliant with local employment requirements, working closely with Legal and external advisors where needed.

Most importantly, you have a genuine customer service mindset. You enjoy helping people, creating a great workplace and making life easier for your colleagues. Whether you're supporting a new employee, coordinating with a supplier or working with a local authority, you're responsive, professional and focused on finding solutions.
You'll likely have experience in Office Management, Workplace Operations, People Operations, Executive Support or another operational role where you've coordinated people, processes and priorities.
Experience working with Spanish employment practices is important. Experience supporting employees across multiple European countries or working with EOR arrangements is an advantage.
Fluency in both Spanish and English is essential.
