The Administrative Assistant performs a variety of administrative tasks to ensure that office processes run smoothly.
The Administrative assistant’s primary focus will be providing office assistance and coordination in Spain and will also support all departments at a global level, as necessary.
Primary responsibilities of this role include the following:
· Coordinating office events
· Assisting with the organization of meetings at the office
· Corresponding with clients and office suppliers
· Sourcing new office suppliers and ensure that the company is provided with the best prices and services, when required.
· Providing general administrative and clerical support including mailing, scanning, and copying to all the team in Spain.
· Providing support with HR administrative duties for the Spain office.
· Handling incoming correspondence and coordinating couriers globally.
· Ensuring that office supplies are well stocked.
· Ensuring that office equipment is in good working order; coordinating maintenance as required.
· Working with the IT team to procure IT peripherals and any other office equipment, and coordinating laptop set up, for employees.
· Ensuring that the office is kept well maintained and cleaned, in line with cleaning schedules.
· Assisting with the organization of Company events, as required
· Passing invoices for appropriate approval and submitting for payment.
· Assisting with organization of employee initiatives
· Providing new employees with onboarding requirements
· Dealing with any queries efficiently and effectively.
· Any other ad-hoc duties, as required.
Qualifications:
· Previous experience in a similar role
· A positive team player
· Good knowledge of Microsoft office
· Excellent organization and communication skills
· Able to work under pressure
· Fluent in English and Spanish.

Pay: 16,000.00€ - 18,000.00€ per year
