About the Role
We are looking for an Administrative Support professional to provide administrative and corporate documentation support for our operations in Portugal. The successful candidate will be responsible for coordinating all corporate and legal documentation requiring the signature of the Sole Director, ensuring that administrative processes are handled efficiently, accurately, and in compliance with applicable regulations.
This role requires a detail-oriented, highly organized individual who can manage multiple priorities while acting as a key liaison between internal departments and external advisors.
Key Responsibilities
- Manage and coordinate all corporate and legal documentation related to the Portuguese entities.
- Prepare, review, and organize documents requiring the Sole Director’s signature.
- Coordinate the signature process, both physical and electronic, ensuring deadlines are met.
- Maintain up-to-date corporate records and documentation.
- Serve as the main point of contact with legal advisors, notaries, public authorities, banks, and other external service providers.
- Assist in the preparation of powers of attorney, board resolutions, certificates, contracts, and other corporate documents.
- Manage administrative procedures related to the Portuguese entities.
- Monitor deadlines, renewals, and ongoing corporate compliance requirements.
- Provide administrative support to the Finance, Human Resources, and Legal teams on matters affecting the Portuguese entities.
- Ensure the confidentiality, security, and proper maintenance of all corporate documentation.
Requirements
- Higher Vocational Education (EQF Level 5) or Bachelor’s degree in Business Administration, Administration, Law, or a related field.
- At least 2 years of previous experience in administrative, corporate governance, or legal support roles.
- Knowledge of corporate documentation and administrative procedures in Portugal.
- Fluency in Spanish, English and Portuguese, written and spoken.
- Advanced proficiency in Microsoft Office (Word, Excel, and Outlook).
- Experience with electronic signature platforms and document management systems is a plus.
