Position Summary:
Based in our Madrid office, the Recruiting Associate will provide administrative support to the Iberia Recruiting Team. The Recruiting Associate will assist in the management and execution of the centralized recruiting initiatives for Iberia by orchestrating logistics and coordinating interviews. As a member of the team, you will be the "face" of Bain & Company to many of our new hires, whose primary initial interactions will be with the Recruiting Coordinator. A strong customer mindset and attention to detail are critical to its success.
Key Responsibilities and Duties:
Maintenance of Bain Recruiting system (Avature)
- Create, update and audit event details regularly to ensure Avature serves as the ‘system of record’ for recruiting events at Bain
- Track changes to Avature records and process changes when appropriate; ensure all appropriate parties are notified (e.g.,different members of theRecruiting Team)
- Liaise withthe rest of the teamto ensure data changes are entered properly
- Flag and escalate any issues to supervisor or colleagues, ensuring the integrity of data within our systems
Facilitate interviews and other 1-on-1 recruiting initiatives
- Support the in-office/Zoom interview process.Act as point-of-contact for all candidates and interviewers, schedule interview times, generate interviewee/interviewer memos, send confirmation emails, and assist with travel reservations/logistics as needed
- Use Avature (Bain recruiting system) to support the process
- Assist with candidate registration, managing candidate questions, and conflicts
- Work closely with theSr. Specialist andSr.Manager to standardizeprocessesand implement support across channels
Event Planning and Execution & other Logistics
- Support team in planning and ensuring execution of all logistics; attend events
- Assist in commitments process for recruiting events, helping the recruiters, as needed
- Assist with offer and closing process for offerees, including offer letters and other paperwork, coordinating closing activities, recruit gifts and expense reimbursements
- Perform other administrative duties as requested or as responsibilities dictate
Qualifications:
- Bachelor orMaster’sdegree (preferably with a specialization in human resource management/ talent acquisition)
- 1-2 years of experience within the talent acquisition team
- Outstanding written and verbal communication skills in both Spanish and English
- Portugueseisa plus
- Experience working with an applicant tracking or candidate management system, Avature systems experience preferred
- Computer literacy -Comprehensive knowledge of Microsoftrequired(Outlook, Excel, PowerPoint, Word)
