Requirements will include:
- Minimum of 4 years of experience in luxury hospitality or event management.
- Experienced EA is essential.
- Strong logistical background.
- Ability to provide outstanding service at all times.
- Clear and strong communication skills in business English - written and verbal.
- Spanish speaking is desirable.
- Strong organisation and planning skills.
- A “can-do” attitude, as additional duties may be required from time to time.
- Ability to manage the taxing emotions and provide practical support.
- The capability to communicate with people from different cultures and backgrounds with ease.
Position Summary:
As the dedicated support professional for the Executive Team the role encompasses a broad spectrum of responsibilities crucial to ensuring seamless daily operations. This includes, but is not limited to, handling daily administration tasks, managing personal calendars, coordinating travel schedules, overseeing project logistics, delivering presentations, responding to calls and emails, handling purchases and orders, scheduling appointments, and addressing any ad-hoc requests that may arise.
Key deliverables:
To assist on all logistical tasks within AMFE which include but are not limited to:
- Management of onboarding and off boarding of staff. Coordination of staff meetings / taking minutes.
- Assistance with optimisation and upkeep of ClickUp. Factorial maintenance and upkeep.
- Support in HR related objectives.
- Support in all corporate activities.
- Direct administrative support for CLO & CEO. G-Suite maintenance.
- Assist with prioritising and scheduling events and/or meetings to optimise the time and productivity of the executive team.
- Assist in drafting, editing, and proofreading documents, correspondence, weekly/monthly reports to the board of directors.
- Assist in managing and tracking projects and initiatives within the executive team. Management of content and media initiative.
- Researching and organising data to present to the executive team and the board of directors.
- Support the implementation of operational policies, to streamline operational processes and overall improvement.
- Facilitate communication and collaboration between the operational team and back office.
- Ensure management reporting is efficient and effective.
- Develop long term strategic goals and plans.
- Develop strategies, business plans, budgets as well as programs to contain cost and increase productivity.
- Managing the management and executive team budgets, including expenses, staffing, travel and rents, in accordance with the master budget forecasting.
This role plays a pivotal part in enhancing the efficiency of AMFE Group, requiring a high level of discretion, organisational skills, and proactive decision-making. Your commitment to excellence will contribute significantly to our overall success.
