How you will create an impact:
- Answering and managing the main switchboard.

Welcoming and assisting visitors and employees from other offices, as well as managing workspace and meeting room bookings.

Managing incoming and outgoing mail, parcels, and courier services.

Coordinating office suppliers (pantry, fruit, coffee, water, stationery, and maintenance).

Maintaining the kitchen area, including restocking supplies, checking the coffee machine and dishwasher, and ensuring cleanliness and organization.

Organizing and managing office supplies and stationery inventory as well as coordinating minor repairs and cleaning services.

Booking, preparing, and resetting meeting rooms for client meetings, providing support with videoconference connections

Organizing in-office client meetings, including room reservations, catering, and logistics coordination.

Managing the access control system and access cards, including requests, registration, and distribution.

Managing users on the corporate taxi platform and on the workspace booking platform

Administering the corporate mobile phone contract, including line activations and deactivations, tariff changes, and invoice monitoring.

Managing printer users and resolving printer-related issues.

Monitoring internet vouchers for guests (Madrid and Barcelona offices).

Coordinating with the IT department on employee onboarding and offboarding, laptop replacements, software installations, and IT support requests, including repairs.

Processing translation requests through the internal platform.

Coordinating with the building management regarding issues in common areas, parking space management, emergency drills, and related matters.

Coordinating occupational health and safety activities with the external provider and HR, including the annual employee medical examinations.

Acting as the main point of contact in the office for day-to-day queries and operational issues.
Your profile:-
3–5 years of experience in an Office Manager, Workplace Experience, or similar role.

Bilingual in Spanish and fluent in English (C1 level), both written and spoken.

Strong organizational skills with the ability to multitask and prioritize effectively.
- Strong verbal and written communication, along with effective interpersonal skills.
- Proficiency in financial tasks, including invoicing and expense control.
