Overall Responsibilities:
We are seeking a proactive and detail-oriented part-time Junior Office Manager to support the day-to-day operations of our Barcelona office. This is an excellent opportunity for someone early in their career who is eager to develop administrative and operational skills within a small, international team.
The role offers exposure to a range of business functions, including office operations, administrative coordination, import/export activates, and regulatory support. Training will be provided, particularly in specialized regulatory and quality system activities.
Position Duties and Responsibilities:
- Fluent in Spanish and English (written and spoken)
- Spanish citizenship required
- Provide general administrative support, including calendar management, meeting coordination, and travel arrangements
- Manage incoming communications (email, phone, and correspondence) in a professional manner
- Support office operations to ensure an organized and efficient working environment
- Support import/export administrative activities
- Coordinate office supplies, vendors, and basic procurement activities
- Assist with document preparation, formatting, and proofreading
- Maintain organized digital and physical filing systems, including:
- Regulatory documentation
- Clinical study files
- Quality system records
- Support submission of documentation to regulatory authorities (training provided)
- Assist in tracking and maintaining EU licenses and compliance documentation
- Help organize meetings, events, and internal office activities
- Provide administrative support to senior leadership as needed
- Contribute to team projects and support ad hoc administrative tasks
Profile / Requirements:
- Strong organizational skills and attention to detail
- Experience with medical products import/export activities
- Good communication skills and professional demeanor
- Proficiency in Microsoft Office (Word, Excel, Outlook, Teams, SharePoint) or similar tools
- Ability to manage multiple tasks and prioritize effectively
- Willingness to learn new systems and processes
- Proactive attitude and ability to work independently in a small team
Nice To Have:
- Previous administrative or office experience
- Basic knowledge of accounting or invoicing
- Interest in healthcare, medical devices, or regulatory/clinical environments
