Position Summary
The Remote Global Medical Education Assistant provides administrative and logistical support to the Global Medical Education team (Remote position for people based in Barcelona or Madrid). Key responsibilities include coordinating KOL travel and meeting logistics, supporting contracting and documentation processes, maintaining activity trackers, and assisting with the organization of scientific meetings and educational initiatives.
The successful candidate will be highly organized, detail-oriented, and able to manage multiple priorities in a dynamic international environment.
Key Responsibilities

Provide administrative and operational support to the Global Medical Education team.

Assist in the coordination of logistics related to KOL engagement activities, including travel arrangements, accommodation, transportation, meeting scheduling, and communications.

Support the planning and organization of advisory boards, expert meetings, faculty programs, and other scientific activities.

Assist in the preparation, processing, and tracking of KOL contracts, agreements, and related documentation.

Maintain accurate records, trackers, databases, and documentation related to KOL activities and Medical Education projects.

Coordinate with internal stakeholders, external vendors, and agencies to ensure the smooth execution of activities.

Support meeting planning, agenda coordination, and follow-up activities.

Ensure all administrative activities are completed accurately and in line with internal procedures and compliance requirements.

Provide general administrative support to the Medical Education team as needed.
Qualifications & Experience
Education
-
Bachelor's degree or equivalent professional experience.
Experience
-
Previous experience in administrative support, event coordination, travel management, stakeholder support, or a similar operational role.

Demonstrated experience organizing travel and logistics for external stakeholders.

Experience within the pharmaceutical, biotechnology, medical device, or healthcare industry is a plus.

Experience supporting KOL engagements, Medical Education activities, or scientific events is highly desirable.

Experience managing contracts, documentation, or vendor coordination is considered an advantage.
Languages

High English level (written and spoken) is required. Advanced/Proficiency
