Position Overview
The Global Legal Operations Specialist is responsible for providing the operational foundation of the global Legal function. The role focuses on global legal spend management, outside counsel management, litigation and investigations tracking, legal process automation, and the development of internal tools and knowledge platforms.
This position combines operations, data analytics, technology, and project management to drive scalability, transparency, and efficiency across commercial, corporate, employment, and litigation matters globally.
What you will do
Global Legal Spend & Outside Counsel Management
- Monitor, track, and analyze global legal spend, including budgets, forecasts, and variances.
- Own the legal invoice intake, approval, and processing workflow, in close collaboration with Finance (e.g., SAP or similar systems).
- Develop and maintain reports, dashboards, and KPIs (e.g., spend by region/practice, cost per matter, law firm performance).
- Build and manage strategic relationships with external law firms, including panel management, fee arrangements, and performance reviews.
Litigation and Claims
- Build, maintain, and continuously improve a centralized global database for litigation and claims.
- Track matter status, key milestones, risks, reserves, and external counsel costs.
- Coordinate with internal stakeholders and external counsel on reporting, documentation, and process consistency.
- Support e-discovery, document management, and litigation-related workflows as required.
Data, Reporting & Performance Monitoring
- Design and maintain dashboards and operational reports to support data-driven decision-making.
- Analyze trends, identify risks, and highlight efficiency and cost-optimization opportunities.
- Provide regular status updates to the CLO and senior management on initiatives, spend, and key metrics.
Project & Change Management
- Lead and support global legal operations projects, including cross-functional initiatives.
- Standardize processes while accommodating regional and local requirements.
- Drive change management within the Legal function and across business stakeholders (Finance, HR, Sales, IT).
- Promote a culture of continuous improvement and operational excellence.
Knowledge Management & Legal
- Own and continuously develop the Legal SharePoint environment.
- Ensure accurate and up-to-date legal policies, procedures, templates, playbooks, and guidance materials.
- Manage legal records and document repositories in line with internal governance requirements.
Process Design, Automation & Legal Technology
- Lead initiatives to automate legal documents and workflows (e.g., NDAs, DPAs, basic commercial agreements).
- Design, implement, and optimize legal intake, approval flows, and document automation solutions.
- Build and maintain internal legal tools (e.g., trackers, forms, low-code/no-code solutions).
Partner with IT and Finance on the selection, implementation, and optimization of legal technology platforms.

What we require
- 5+ years of experience in operations, procurement, administration, or a comparable operational role within a corporate environment.
- Proven experience with legal spend management, invoice processing, budgeting, and reporting.
- Experience working with and managing indirect procurement vendors.
- Fluency in English
- Strong analytical, organizational, and communication skills.
- Advanced proficiency in Microsoft 365 applications (including Excel, SharePoint, Forms, and PowerPoint) and a willingness to learn new technologies and platforms.
- Ability to work independently in a fast-paced, global environment.

What we prefer
- Experience supporting litigation, claims, and investigations.
- Familiarity with multinational legal environments and organizations.
- Experience with legal automation, contract lifecycle management (CLM) systems, or legal technology implementations.
- Experience with Accounts payable and/or Accounts receivable or Indirect procurement will be considered an advantage.
- Knowledge of project management methodologies.
Proficiency in an additional European or APAC language.
