Role Overview
We are seeking a highly organized, proactive, and service-oriented professional to support the Western Europe Committee Chairman while also contributing to the smooth coordination of team activities and logistics across the region.
This role combines high-level executive assistance, strategic coordination, and operational/logistical support, requiring strong multitasking abilities, sound judgment, and the ability to operate effectively in a fast-paced, international environment.
Key Responsibilities
Executive & Strategic Support to the Western Europe Chairman
- Provide high-level administrative and strategic support to the Western Europe Committee Chairman
- Manage complex calendars, scheduling meetings, appointments, and extensive travel arrangements
- Manage budgets, expenses, and administrative processes (e.g., invoices, approvals) for the Western Europe Committee Chairman
- Prepare and review presentations, reports, and briefing materials for executive meetings and decision-making
- Support the development and tracking of strategic plans, roadmaps, and key regional priorities
- Conduct relevant research and analysis (market, stakeholder, internal) to support planning and decision-making
Stakeholder & Communication Management
- Act as the main point of contact between the Chairman and internal/external stakeholders (clients, partners, etc.)
- Manage communications including emails, calls, and correspondence with a high level of professionalism
- Support internal communication initiatives
Committee & Team Coordination
- Coordinate Western Europe Committee scheduling meetings and logistics
- Coordinate events, workshops, and regional meetings, ensuring seamless organization
- Facilitate communication and alignment across multiple countries and teams
- Support the Executive Committee of the European Platform based in Barcelona with scheduling meetings, agenda preparation and action follow-up
Additional Responsibilities
- Handle confidential and sensitive information with the highest level of discretion
- Support daily operations and contribute to ad hoc projects and cross-functional initiatives
- Identify opportunities to improve processes and enhance team efficiency
Profile & Qualifications
Experience
- Minimum 7+ years of experience as an Executive Assistant, Project Coordinator, or in a similar role
- Proven experience supporting senior executives or leadership teams in an international environment
- Strong background in logistics, event coordination, and stakeholder management
