Role: Administrative Assistant – Fund Marketing Support

Role summary:
As an Administrative Assistant, you will support our Marketing team in delivering fund marketing activities across the EEA and the United Kingdom. You will help coordinate regulatory filings, maintain accurate data, monitor distribution fees, and support compliance efforts, while providing reliable administrative and project support.
Key responsibilities:
Coordinate international fund marketing activities and liaise with internal departments.
Support the preparation and submission of marketing, pre-marketing, re-notification, and de-notification filings via CSSF eDesk.
Assist with regulatory reporting across multiple jurisdictions (e.g. CSSF, FCA, CONSOB).
Maintain, update, and continuously improve internal databases, trackers, and reporting tools to ensure data accuracy and transparency.
Monitor and track distribution fees and related payments, ensuring proper reconciliation and follow-up.
Contribute to strategic and operational projects, including business transfers, mergers, and any regulatory developments.
Support the review of marketing materials and investor documentation from a regulatory perspective.
Conduct regulatory research and support the team in keeping up to date with evolving marketing rules across Europe.
Provide general administrative and organizational support.
Skills & experience needed:
Academic degree, preferably in Finance or Economics;
Keen to further develop your practical knowledge of laws and regulations applicable to financial services, both within Luxembourg and other jurisdictions.
First experience in asset management, AIFM, or financial services is considered an advantage.
Excellent analytical, organizational, and communication skills with a proactive mindset.
High level of accuracy and attention to detail, with the ability to manage multiple tasks and deadlines.
Strong team player with the ability to work in an international and dynamic environment.
Proficiency in Microsoft Office, in particular Excel (data tracking and reporting).
Fluent in English with excellent written and oral communication skills (German language skills would be an advantage).
