The Facilities Coordinator will assist the Facilities Manager with operational activities in, maintenance and operations, vendor oversight, purchasing of material, equipment & supplies and helpdesk.
This role functions as a key support resource, managing service delivery and client satisfaction across assigned sites.
Client/Stakeholder Management
Provide superior customer service to meet or exceed on-site client’s expectations
Communicate and interact effectively at all levels, modulating communicating accordingly.
Support delivery of KPI’s and SLA’s defined within the contract.
Operations Management
Hands-on Facilities Support: Assist with day-to-day facilities tasks within the premises, such as space setup, logistics coordination and general office maintenance requests.
Access Control & Badge Management: Create and distribute security badges for employee access, primarily for the Madrid office and occasionally other country sites; liaise with the International department for badge orders and updates.
Courier & Distribution Logistics: Arrange daily shipments and courier services for employees, receive incoming packages/mail, and coordinate notification to the designated addressee
Office Cars Administration:
o Manage reservations, key distribution, and booking coordination for company vehicles
o Oversee traffic sanction management using relevant software: retrieve sanctions, identify drivers, send notifications.
Office Supplies Procurement: Order supplies through the client’s platform, ensuring timely fulfilment and supporting basic finance workflows.
Supplier & Service Management: Support the Facilities Manager with ad-hoc service issues; coordinate with external suppliers for resolution and ensure appropriate follow-up and closure.
Physical Facility Inspections: Conduct regular walkthroughs to identify and address operational needs, including cleaning inspections and basic HSSE assessments.
Corrigo System Management: Oversee workflow management systems for the sites, ensuring work orders are handled within SLAs and customer updates are timely and professional.
Vendor Relations: Develop strong relationships with vendors, ensuring understanding of client culture and high-quality service delivery.
Continuous Improvement: Evaluate service performance and collaborate to implement improvements in quality and efficiency.
HSE, Security & Quality Management
Conduct regular audits to ensure safety procedures are in place and effective
Follow JLL Contractor Management procedures and ensure compliance with statutory and client requirements.
Understand & actively support JLL’s Quality Management program
Maintain confidentiality of documents & communications as appropriate.

Previous experience in a facilities environment or hands-on operational rose is desirable.
Education: Not a requirement
Valid driver’s license required
Fluency in local language; conversational English required
40 hours/week on-site in Madrid; remote work negotiable.
