For our office in Madrid we are looking for a Site Assistant & Administration
The Site Assistant & Administration role is responsible for ensuring the smooth day-to-day operation of the Madrid office by delivering a professional front-desk experience while providing comprehensive administrative, facilities, and operational support across the organization. This fully on-site position plays a key role in maintaining office efficiency, supporting internal teams such as Finance, HR, Marketing, Sales, and IT, and coordinating with external service providers including vendors, building management, travel partners, and logistics companies. The role requires strong organizational ability, attention to detail, and a proactive approach to ensuring seamless office operations, compliance with company processes, and a high standard of employee and visitor experience.
What you will do with us:

Manage front desk operations including switchboard calls, visitor reception, and handling incoming/outgoing mail, couriers, and packages.

Ensure a professional and welcoming office environment, including visitor assistance and meeting room preparation.

Oversee daily office operations, including coordination of maintenance, repairs, and liaison with building management and external vendors.

Manage office supplies, kitchen consumables, printer materials, and ensure shared spaces are clean, organized, and ready for use.

Support Accounts Payable processes including creation of Purchase Requisitions and Purchase Orders in SAP S/4 and Ariba Guided Buying.

Coordinate vendor onboarding, due diligence processes, and liaise with Finance for invoice processing and queries.

Provide administrative and logistical support to Marketing and Sales teams, including events, materials, couriers, and travel arrangements.
Your qualification:

University degree or professional qualification in Business Administration, Office Management, or a related field.

Previous experience in office administration, facilities coordination, or a similar support role, ideally in a multinational environment.

Hands-on experience with ERP and procurement systems such as SAP S/4 and Ariba Guided Buying.

Strong proficiency in Microsoft Office tools (Excel, Outlook, Word) with the ability to prepare reports, trackers, and documentation.

Fluency in Spanish and good working knowledge of English, both written and spoken.

Solid understanding of basic finance processes including invoices, purchase orders, and vendor management.

Strong organizational skills with the ability to manage multiple priorities effectively in a fast-paced environment.
