As a key member of the Facilities & Hospitality team, the Workplace Services Assistant ensures a seamless, welcoming, and efficient experience for employees and visitors across all workplace services. This position provides operational support to the entire Workplace Services team, with a particular focus on hospitality, reception, facilities and workspace setup.
Reporting directly to the Facility Manager and working closely with the Hospitality Lead, and other Workplace Services team, the Workplace Services Assistant plays a vital role in supporting day-to-day operations in the office, including mailroom management, ticket handling, room setup, and reception coverage.
Main responsibilities include, but are not limited to: Provide coverage at reception as required, including greeting visitors, access control, and maintaining a professional and welcoming environment.
Assist GSAs with daily reception operations, ensuring smooth visitor flow and a positive first impression of the office.
Support internal teams and employees with workplace requests, coordinating solutions where needed.
Manage and own the mailroom efficiently, ensuring incoming and outgoing mail and packages are processed accurately and promptly.
Monitor and manage REWS Office Services tickets (mail&package, office supplies & office services), ensuring timely resolution or escalation where necessary.
Maintain accurate records of deliveries, collections, and ticket updates.
Prepare and set up meeting and event rooms according to schedule, including furniture arrangement, equipment setup, and necessary supplies, when required.
Collaborate with the Workplace Services team to maintain consistent readiness across shared spaces.
Assist with ad-hoc hospitality or office support duties, including catering setup, supply replenishment, and administrative tasks.
Support smooth communication within the Workplace Services team and with internal stakeholders.
Inventory and Supplies Management. Work closely with the Facilities Coordinator to conduct inventories and place orders for office supplies, snacks, amenities, and janitorial consumables, ensuring timely replenishment and accurate stock levels.
Supervise the proper emptying and handling of confidential paper bins following established protocols to protect information security.
Provide assistance to the team with any ad hoc tasks that may arise as part of daily operations.
Perform Site Inspections when needed in collaboration with the Facilities Coordinator
