The Barcelona Supercomputing Center - Centro Nacional de Supercomputación (BSC-CNS) is the leading supercomputing center in Spain. It houses MareNostrum, one of the most powerful supercomputers in Europe, was a founding and hosting member of the former European HPC infrastructure PRACE (Partnership for Advanced Computing in Europe), and is now hosting entity for EuroHPC JU, the Joint Undertaking that leads large-scale investments and HPC provision in Europe. The mission of BSC is to research, develop and manage information technologies in order to facilitate scientific progress. BSC combines HPC service provision and R&D into both computer and computational science (life, earth and engineering sciences) under one roof, and currently has over 1000 staff from 60 countries.

Context And Mission
This role is part of the CS Operational Support group, dedicated to delivering high-quality administrative and operational support across the Department. The group supports Area Directors, Group Leaders, Activity Leaders, and researchers, contributing to the smooth coordination of daily operations, logistics, and administrative processes across teams.
Within this broader framework, the position currently open will be primarily focused on providing dedicated administrative and organizational support to an Area Director. At the same time, as a member of the CS Operational Support group, the role is also expected to contribute to the wider activities and responsibilities of the team, providing support across other areas and collaborating on shared operational tasks whenever required.
Key Duties
- Management of the schedule/calendar of Area Directors within the CS Department.
- Comprehensive administrative support to Area Directors, including travel arrangements and expense reimbursements, organization of internal and external meetings, events, workshops and conferences, administrative support for projects, and visitor management.
- Management and coordination of travel for Group Leaders and Activity Leaders, and subsequent preparation of payment settlements with the Finance Department.
- General support to Group Leaders and Activity Leaders.
- Coordination tasks, including document drafting and related administrative support.
- Support for the overall organization and smooth operation of the CS Department, including the resolution of day-to-day operational issues.
- Collaboration with other members of the CS Operational Support group in cross-functional administrative and operational activities.
Requirements
- Education
- Administrative Studies or equivalent (Professional Administrative/ Secretary Training 2nd Grade 2).
- Essential Knowledge and Professional Experience
- 1–3 years of experience as an Executive Assistant, Personal Assistant, or Administrative Assistant providing direct support to senior management or Directors.
- Proven experience managing complex calendars, scheduling meetings, and coordinating executive agendas.
- Experience handling confidential information with a high level of discretion and professionalism.
- Advanced knowledge of Microsoft Office Suite (PowerPoint, Excel, Outlook, Word, etc.).
- Strong organizational and communication skills, with the ability to coordinate across different teams and stakeholders.
- Experience organizing meetings, travel arrangements, and internal or external events.
- Ability to prioritize tasks, work autonomously, and manage multiple responsibilities in a fast-paced environment.
- Specific knowledge of the development and management of research centers will be highly valued.
- Additional Knowledge and Professional Experience
- Fluency in spoken and written English and Spanish, while fluency in other European languages will be also valued.

Development of the recruitment process
The selection will be carried out through a competitive examination system ("Concurso-Oposición"). The recruitment process consists of two phases:
- Curriculum Analysis: Evaluation of previous experience and/or scientific history, degree, training, and other professional information relevant to the position. - 40 points

Interview phase: The highest-rated candidates at the curriculum level will be invited to the interview phase, conducted by the corresponding department and Human Resources. In this phase, technical competencies, knowledge, skills, and professional experience related to the position, as well as the required personal competencies, will be evaluated. - 60 points. A minimum of 30 points out of 60 must be obtained to be eligible for the position.
The recruitment panel will be composed of at least three people, ensuring at least 25% representation of women.
In accordance with OTM-R principles, a gender-balanced recruitment panel is formed for each vacancy at the beginning of the process. After reviewing the content of the applications, the panel will begin the interviews, with at least one technical and one administrative interview. At a minimum, a personality questionnaire as well as a technical exercise will be conducted during the process.
The panel will make a final decision, and all individuals who participated in the interview phase will receive feedback with details on the acceptance or rejection of their profile.
